I keep a spreadsheet: actual hours saved, actual revenue generated, actual cost including setup and training time. When a vendor hides their pricing behind a 'book a demo' button, I already know it's going to be expensive. I'd rather use a free tool that does 80% of the job than an expensive one that does 100% but eats into what little margin we have.
